Membership

The TBDWG-UK/IRL is a group of service users and professionals specialising in tick-borne diseases. Members include service users, researchers, nurse consultants, medical doctors, professors and functional practitioners (this list is not exhaustive). The group seeks to form a consortium, to identify representatives to represent the UK and Ireland patients, providers and commissioners from both charitable and private health care services. The TBDWG-UK/IRL aims to be accessible, inclusive, openly run, and courteous. Members have a full understanding of the need for confidentiality and respect.

Accountability

  • Members are accountable for carrying out actions and reporting back to the TBDWG-UK/IRL.

  • Sub-groups for defined areas, such as patient experience, will be developed. These sub-groups will report back to the TBDWG-UK/IRL.

  • Quorate requirements will be reviewed once membership has been established.

Meetings

  • Meetings will normally take place quarterly. Members will decide appropriate days/times for meetings to enable as many individuals as possible to attend. At times, extraordinary meetings may be convened, following majority agreement by members.

  • Meetings will take place remotely via Teams or a suitable alternative

  • Members are expected to attend meetings regularly and to inform the organisers, currently The TBD Clinic, if they are unable to attend a meeting.

  • Stakeholders will be invited to attend and present opportunities for discussion in agreement with the members. Examples of invitees include (but are not limited to): RIPL, UKHSA, NHSE, NICE, Health boards, Trust Executives/non-executives, PHE, and international members of the community.

  • In the first instance, meetings will be chaired and minutes taken and circulated, by The TBD Clinic.

  • Minutes will be taken as a record of the meeting, capturing agenda items discussed, decisions made, and resulting actions with names and timelines.

  • The Meetings will have an agenda where opportunities for general discussion/case study presentation will be provided. Any items to be included in the agenda should be sent to The TBD Clinic in advance of the agenda being distributed (6 weeks prior to the next meeting).

  • The agenda, minutes from the previous meeting and any other papers will be sent out by email a minimum of 4 weeks in advance of the meeting.

Ground rules for meetings

  • All members are asked to abide by the ground rules to ensure that meetings are properly run. The ground rules will need to be continuously reviews by the group.

  • Everyone is responsible for ensuring the success of the meeting

  • Meetings should start on time, and keep to time, unless under exceptional circumstances.

  • Meetings should be chaired effectively

  • Everyone is responsible for adhering to and promoting the ground rules.

  • All members will promote an environment where individual members feel confident in communicating their statements, in the knowledge that they will be allowed time to speak and will be listened to.

  • Members will bring with them different views and experiences. Each member is expected to respect the views and comments of others, whilst accepting they may not necessarily agree with these views.

  • Everything discussed during the meeting remains confidential unless agreed otherwise.

  • Only one person should speak at a time.
